# Workflows: call at the right moment

> Recipes that turn a reply, a lead form, a booking or a new CRM lead into a call, one page per source, with what to send and how to test it.

A workflow connects a moment in a tool you already use to a call in Salesfinity. Someone replies,
fills in a form or books a demo, and a rep calls them while they still remember why.

Each page here is one recipe for one source: when to use it, what you need, the steps, the exact
fields to send, and how to test it before reps rely on it.

## Pick a workflow

| When this happens | Workflow | What the rep gets |
| - | - | - |
| A prospect replies with interest in Instantly, Smartlead, lemlist, Apollo, Outreach or a similar tool | [Replies in your outreach tool](https://docs.salesfinity.ai/workflows/outreach-replies.md) | Their next call, with the reply in the notes. Tag *Replied*. |
| A prospect replies to a Salesfinity sequence and asks to talk | [Replies to your sequences](https://docs.salesfinity.ai/workflows/sequencer-replies.md) | A high-priority **Call** task in **Tasks**, on their Sequencer dial list. Built in, no API. |
| Someone fills in a Facebook or LinkedIn lead form | [Lead ads](https://docs.salesfinity.ai/workflows/lead-ads.md) | Their next call, with the form and campaign in the notes. Tag *Facebook lead* or *LinkedIn lead*. |
| Someone books a demo in Calendly, Chili Piper, HubSpot Meetings or a similar tool | [Demo bookings](https://docs.salesfinity.ai/workflows/demo-bookings.md) | A call to confirm and qualify, with the booking time in the notes. Tag *Booked a call*. |
| Someone fills in a demo or contact form on your website | [Website forms](https://docs.salesfinity.ai/workflows/website-forms.md) | Their next call, with what they asked for in the notes. Tag *Demo request*. |
| A lead is created or assigned to a rep in HubSpot or Salesforce | [New leads in your CRM](https://docs.salesfinity.ai/workflows/crm-new-leads.md) | The owner's next call, on the owner's own list. Tag *New lead*. |

"Their next call" means: if the rep is dialing that list, the person is called right after the
current call. If not, the rep gets a notification with **Call now** and **Open list**, and the
person is first when they press Start. The full mechanics are in
[Call new leads within minutes](https://docs.salesfinity.ai/dialer/speed-to-lead.md).

## Two kinds of workflow

> **Send a tagged contact**
>
> Your automation (Zapier, Make or your own code) adds the person to the rep's list with
> [Add a contact to a list](https://docs.salesfinity.ai/api-reference/endpoint/add-contact.md#call-a-contact-next) and a
> `tag`. Every workflow here except one works this way.

> **Let the Sequencer do it**
>
> For replies to Salesfinity sequences, a reply label and one rule create the call task. No
> automation tool. See [Replies to your sequences](https://docs.salesfinity.ai/workflows/sequencer-replies.md).

## Before you start

Every tagged-contact workflow needs the same three things. Set them up once and reuse them:

1. **A list the rep dials**, such as *Inbound leads*, and its ID: the `_id` from
   [List contact lists](https://docs.salesfinity.ai/api-reference/endpoint/get-contact-lists-csv.md), not its
`contact_list_id`. See [Pick the list hot leads go to](https://docs.salesfinity.ai/dialer/speed-to-lead.md#pick-the-list-hot-leads-go-to).
2. **An API key** from
   [Settings → Connections → API & Webhooks](https://web.salesfinity.co/dashboard/settings?tab=connections).
It works for your whole team, so keep it in your automation tool or on your server, never in a
   web page.
3. **An automation tool**: Zapier, Make, or your own code. In Zapier, sending the request needs
**Webhooks by Zapier**, a premium app, so you need a paid Zapier plan. Paid plans also include
**Filter by Zapier**, which the recipes use to skip what shouldn't get a call.

## One tag per source

A tag tells the rep why they're calling before they read anything. Pick one per source, keep it
the same everywhere, and keep it to 24 characters at most.

| Source | Tag | Put in `notes` |
| - | - | - |
| Interested email reply | `Replied` | The reply, and the campaign |
| Facebook lead form | `Facebook lead` | The form name, the ad or campaign, and any custom answers |
| LinkedIn lead form | `LinkedIn lead` | The form name, the campaign, and any custom answers |
| Demo booking | `Booked a call` | The meeting time with its time zone, and the booking answers |
| Website form | `Demo request` | The form, the page, and the message |
| New CRM lead | `New lead` | The lead source, and why it was assigned |

## Rules every workflow follows

* **Send only people who asked to talk.** A tag means "call this person next". Interested
replies, demo requests and lead forms qualify. Newsletter sign-ups, content downloads and
out-of-office replies don't. Add those without a tag, or not at all.
* **Phone numbers in international format**, such as `+17205550148`. Numbers are stored exactly
  as sent.
* **Notes are 2,000 characters at most.** Free text, such as a reply or a message, can also carry
quotes and line breaks that break JSON typed by hand. See
  [Clean up the reply text](https://docs.salesfinity.ai/workflows/outreach-replies.md#clean-up-the-reply-text).
* **Send the email address.** The same person sent twice (same email, or same phone number and
first name) moves to the top and takes the new tag, instead of being added twice. It's also how
a logged call finds its way back to the right CRM record.
* **The usual dialing rules apply.** Do-not-call and wrong numbers, and the rep's working hours,
are respected. See [Good to know](https://docs.salesfinity.ai/dialer/speed-to-lead.md#good-to-know).
