A workflow connects a moment in a tool you already use to a call in Salesfinity. Someone replies, fills in a form or books a demo, and a rep calls them while they still remember why. Each page here is one recipe for one source: when to use it, what you need, the steps, the exact fields to send, and how to test it before reps rely on it.

Pick a workflow

“Their next call” means: if the rep is dialing that list, the person is called right after the current call. If not, the rep gets a notification with Call now and Open list, and the person is first when they press Start. The full mechanics are in Call new leads within minutes.

Two kinds of workflow

Send a tagged contact

Your automation (Zapier, Make or your own code) adds the person to the rep’s list with Add a contact to a list and a tag. Every workflow here except one works this way.

Let the Sequencer do it

For replies to Salesfinity sequences, a reply label and one rule create the call task. No automation tool. See Replies to your sequences.

Before you start

Every tagged-contact workflow needs the same three things. Set them up once and reuse them:
  1. A list the rep dials, such as Inbound leads, and its ID: the _id from List contact lists, not its contact_list_id. See Pick the list hot leads go to.
  2. An API key from Settings → Connections → API & Webhooks. It works for your whole team, so keep it in your automation tool or on your server, never in a web page.
  3. An automation tool: Zapier, Make, or your own code. In Zapier, sending the request needs Webhooks by Zapier, a premium app, so you need a paid Zapier plan. Paid plans also include Filter by Zapier, which the recipes use to skip what shouldn’t get a call.

One tag per source

A tag tells the rep why they’re calling before they read anything. Pick one per source, keep it the same everywhere, and keep it to 24 characters at most.

Rules every workflow follows

  • Send only people who asked to talk. A tag means “call this person next”. Interested replies, demo requests and lead forms qualify. Newsletter sign-ups, content downloads and out-of-office replies don’t. Add those without a tag, or not at all.
  • Phone numbers in international format, such as +17205550148. Numbers are stored exactly as sent.
  • Notes are 2,000 characters at most. Free text, such as a reply or a message, can also carry quotes and line breaks that break JSON typed by hand. See Clean up the reply text.
  • Send the email address. The same person sent twice (same email, or same phone number and first name) moves to the top and takes the new tag, instead of being added twice. It’s also how a logged call finds its way back to the right CRM record.
  • The usual dialing rules apply. Do-not-call and wrong numbers, and the rep’s working hours, are respected. See Good to know.
