When to use it
- Your email sequences run in the Salesfinity Sequencer.
- You want a rep to call when someone writes back “call me”, gives a time, or asks to talk.
What you get
When a reply matches your label:- A Call task is created for the rep the person is enrolled with, due now, with your note and priority. The task is named after the rule.
- It shows in that rep’s Sequencer › Tasks as soon as the reply has been read.
- It goes onto the rep’s own Sequencer dial list, ready to dial with the rest of their call tasks. It is placed at once when the rep clicks Start dialing, and on its own a little later otherwise.
- The person’s timeline shows Reply matched your labels and the task the rule made.
This is a task, not a tagged hot lead. It does not become the rep’s
next call in the middle of a dialing session, and it sends no notification. The rep finds it
in Tasks and on their dial list.
Set it up
1
Add a reply label
Open Sequencer settings (press
G then ,), go to the Replies tab, and find
Reply labels. Under Your own labels, click Add a label:- Label name: Wants to talk
- What it means: They asked for a call, gave a time or a number to call, or said to phone them.
2
Add a rule that creates a call task
Open the rules: Rules ▸ next to a sequence’s tabs, or Settings › Rules at the top
right of the Sequencer. Pick the rule set your sequences follow, then click + Add on the
What happens next row.
- When: A reply gets one of your labels, and pick Wants to talk.
- Then: Create a task, with Task type Call, a Note such as They asked for a call. Read their reply before you dial., and Priority High.
- Name: something the rep will understand on a task, such as Call: wants to talk.
3
Add it to every rule set you use
A rule only works in the sequences on its rule set. Most teams use the Team default. If you
have more sets, such as Inbound and Outbound, add the rule to each one, or limit it with
Only in these sequences.
4
Dial the tasks
Reps open Sequencer › Tasks, filter to Calls (and High priority, if they like), and
click Start dialing, or press
C. That places every call task that is due, this one
included, and opens the dialer. See
Call tasks and your dial list.A label or “They reply interested”?
The rules editor also has a built-in When: They reply interested. It fires for every reply read as Interested, including “send me more information”. A label of your own is narrower: it fires only for the replies its meaning describes.
Pick one of them to create call tasks. If two rules both create a task, one reply can give the rep
two tasks for the same person.
Test it
- Make a test sequence with an email step, and add yourself with your own email address and mobile number.
- When the email arrives, reply: “Can you call me tomorrow at 10?”
- Check the reply in the Sequencer Inbox, then open your enrollment on the sequence’s People tab. The timeline should show Reply matched your labels and the task.
- Open Tasks, filter to Calls and click Start dialing. Your phone should be in the list.
Good to know
- The sequence’s own reply setting still applies. With When they reply on Stop the sequence (the default), the reply ends the sequence, and the call task is created anyway.
- A reply after the sequence finished changes nothing. It still lands in the Inbox, but no rule runs and no task is made. The rep answers it from there.
- No number to dial? If the person has no phone number, or each number is marked do not call or wrong, or is on the do-not-contact list, the task arrives as a to-do instead, and the timeline says why. The rep still knows to follow up.
- Calling hours. A call task joins the dial list between 8 AM and 8 PM in the prospect’s time zone, when it’s known. Outside those hours it waits in Tasks and joins the list when they open.
- The task goes to the person’s rep. That is the teammate the person is enrolled with, not whoever wrote the rule.
